Menu Options
The Admin menu provides access to several key configuration areas that control how your checks operate.
Check Types
This area holds the main categorisation for the types of your checks. By default, we have these set to Opening, In Process and Closing. These are further separated depending on the clubs/activities you offer.
For example, if you run an Early Morning Club, After School Club and a Holiday Club, these would be categorised as:
- Early Morning Club (EMC)
- EMC Opening
- EMC In Process
- EMC Closing - After School Club (ASC)
- ASC Opening
- ASC In Process
- ASC Closing - Holiday Club (HOL)
- HOL Opening
- HOL In Process
- HOL Closing
There are further check types depending on your subscription package, some follow the pattern of Opening, In Process and Closing and others are outliers such as our 'Celebrations' check, part of our Quality Club offer.
Check Schedules
This area holds all your checks and their current scheduling. If you select an existing check you will see the details for it in the top central window. Three sections lie within this window, namely Main, Schedule and Content.
Main shows the fields for the title of your check, what type it is and the RASCI fields for assigning your team.
Schedule is where you setup/amend the scheduling for your selected check. You can set the times when the check can be 'applicable from', 'due by' and when it 'expires'.
Content is the area where you can enter descriptions of the check or list off the actions needed to complete the check. You can also include ‘Prompts’ which can be compliant yes/no questions with optional follow up open ended questions, if needed.

Checks
The Checks section is the go-to for users with Admin access that want to review performance ratings regarding their past checks. You may also use this to further identify any patterns such as repeatedly missed checks or those completed late on certain days. More on this will be explained in our “Tracking Basics” section.
Site Roles
This section is where roles are outlined and access levels determined. This directly links to RASCI assignment. Some roles will be unable to complete certain checks that require a more senior role to complete. Each user should be assigned at least one of these roles but that is done in the User section, under the Admin drop down.
Term Time Dates
This is where the date ranges for the academic years’ terms are outlined. Essentially creating the days in which your checks should be appearing and excluding those where they are not necessary. It also distinguishes term time clubs from any holiday clubs.
Exclusion Dates
This is where you may add any dates you will not need to be using the app. Such dates may be bank holidays or inset days. It may also include any planned closures, for example, over Christmas and New Year.
