Quick answers to common questions about using the FDC Digital platform, including corrective actions, handover notes, and getting support.
Corrective Actions
Corrective actions are essential for maintaining compliance and demonstrating continuous improvement. Understanding when and how to create them ensures your setting stays audit-ready.
When should I make a corrective action?
Whenever a check has been missed, completed late, or has a non-compliance, i.e. if a past check is not green, a corrective action is needed.
However, a green check may still need a corrective action if:
- Human error occurred, or
- Something happened after the check that invalidated it.
You may also create a corrective action for an upcoming check if you know in advance that it will be missed and cannot be avoided.
Example: A gate lock is broken and cannot be secured until a replacement arrives. You use zip ties temporarily. The check may still be marked green, but a corrective action is required to show that a proper lock was not available.
How do I make a corrective action?
In the Corrective Actions section, you will see two subsections: Past Checks and Upcoming Checks.
- Select the relevant subsection.
- Choose the check that requires the corrective action.
- If multiple checks within the same Check Type need the same corrective action, you may select them all and submit one explanation for all of them.
How do I know if a corrective action has been made?
You can confirm this in several ways:
- All submitted corrective actions appear on the main Corrective Actions page.
- Within Past Checks, open a Check Type and click the drop-down arrow to expand individual checks. Any corrective actions will be detailed there.
- Checks with a corrective action against them will display the Corrective Action symbol.
- On each Check Type, a fraction will show how many checks require corrective actions and how many have already been completed.
Getting Help
We're here to support you whenever you encounter issues or have questions about the platform.
Something isn't right, how can I get help?
Open the menu at the top right of the app and select Help. You'll be taken to a page where you can:
- Choose the type of issue you're experiencing
- Describe the problem in a text box
- Upload relevant files, such as screenshots
If you are signed up with FDC Training and Consultancy, we can resolve issues or complete requests for you. If you are not signed up, we will still support you by sharing relevant guides from the FDC Academy.
Handover Notes
Handover notes ensure smooth transitions between shifts and effective communication across your team.
How do I make a handover note?
- Go to the Handover Notes page.
- Select the club type from the dropdown (e.g., EMC, ASC, HOL).
- Type your note in the text box.
- Choose whether the note applies to a single day or a set period.
How do I set a recurring handover note?
In the handover note creation section, you will see a toggle for repeating notes.
- By default, notes do not repeat. This means a single note for a specific club and date is created.
- If you toggle repetition on to 'recurring handover note', you can set the days and date range for the recurring note.
- You may repeat a note for the rest of the academic year or for just a few days.
- To show a note for the whole week, select all weekdays and then choose the start and end dates.
How do I remove or edit a handover note?
This can be done by the FDC Digital Admin Team on request. Only team members with the appropriate access can edit or remove a note. When available, the options to edit or delete will appear as icons on the note itself.
